Build a cling film technical file around the ordered SKU rather than a folder of certificates. The useful output is an evidence index linking each product and formulation to its specification, intended use, supporting documents and open questions. A buyer should be able to identify what is covered without guessing from file names.
This guide focuses on organizing and maintaining evidence. It does not prescribe a universal test package for every film, food or destination market.
Create one identity record per approved film
Record the buyer SKU, supplier product code, PE or PVC formulation reference, manufacturing site, thickness range, width, roll length, core and packaging revision. Where one report is proposed to cover several variants, ask the supplier to explain the grouping and its limitations in writing.
Keep the material formulation reference separate from the retail-box code. A different box does not necessarily change the film, while an unchanged box can conceal a formulation change.

Index the evidence and its scope

A laboratory report and a supplier declaration have different roles. For EU plastic food-contact materials, the European Commission legislation guide describes the declaration of compliance and supporting documentation. A quality-system certificate does not substitute for product evidence.
Map the intended use to supporting documents
- Write the actual use: food, direct contact, duration, storage and any heating claim.
- Read the document’s sample description and test conditions. Highlight any condition that differs from the intended use.
- Ask the supplier or qualified assessor to explain applicability, restrictions and missing work.
- Keep the review result beside the source document, including which buyer SKUs it covers.
Do not impose a generic 12- or 24-month expiry on every report. Review age together with formulation changes, regulation changes, issuer validity and customer requirements. A recent report for the wrong product is still the wrong evidence.

Use the full product catalog, PE inspection report, PVC inspection report and aluminum foil catalog to keep the evidence types distinct. The two reports are English translations of submitted-sample records, not additional certifications. Preserve each report’s notices and refer to the signed source report for formal review.
The current commercial roll page lists 8–12 μm as a typical thickness range, while the PE submitted sample is 13 μm. This difference belongs in the index: do not assume that the public PE report automatically covers every listed commercial gauge.
Control changes after the first order
Maintain a revision log for formulation, resin source, production site, use instructions and important process changes. Ask the supplier to notify you before an approved product changes. Review the impact, update the evidence index and decide whether sample approval or additional assessment is required.
Protect confidential formulation information through an appropriate disclosure process. A full recipe need not be placed in a public purchasing folder, but the supplier must provide enough information through the proper channel to support the relevant assessment.

Read COA, COC, DoC and test report differences when classifying each entry. Send the ordered material, width, gauge, formulation reference and destination to YIYUAN when requesting the matching technical file.
